About the Role
The Executive & Program Assistant provides high-level administrative, operational, and event support to leadership at the Brooks Institute for Animal Rights Law and Policy.
This role ensures leadership can focus on strategic priorities while enabling smooth execution of programs, events, and internal operations that advance animal law and policy.
Key Responsibilities
Leadership Support
- Manage calendars, scheduling, and travel logistics
- Prepare itineraries and expense reports
- Provide inbox management and personal assistance
- Anticipate leadership needs and proactively solve issues
Administrative & Project Coordination
- Support administrative functions across programs and operations
- Draft, proofread, and cite-check materials and correspondence
- Maintain data and documentation in CRM and project management tools
Event & Meeting Management
- Coordinate meetings, agendas, and logistics
- Support event planning, on-site coordination, and follow-up
- Facilitate meetings where needed
Candidate Profile
- 7+ years supporting executive-level staff
- Exceptional organization, attention to detail, and follow-through
- High emotional intelligence, discretion, and judgment
- Strong time management and ability to handle competing priorities
- Proactive, collaborative, and service-oriented mindset
- Excellent written and verbal communication skills
- Comfort with CRM and project management tools
Qualifications
- Bachelor’s degree (or higher)
- Experience with project management (preferred)
- Alignment with the mission of advancing animal law and policy
Additional Details
- Location: Wheaton, IL (with some remote flexibility)
- Type: Full-time (part-time considered)
