Scope of Work
Operations and Workflow Coordination (30%)
- Support the day-to-day operations of the organization to ensure efficiency and alignment with organizational priorities.
- Assist in streamlining internal workflows, systems, and administrative processes to improve team coordination and productivity.
- Monitor operational activities and help ensure that projects and programs are implemented within scope, timeline, and budget.
- Provide administrative and operational support across different organizational initiatives as needed.
Financial Administration and Compliance (20%)
- Support budget tracking, procurement, and financial documentation for programs and organizational operations.
- Manage and replenish the organization’s petty cash fund.
- Record invoices, reimbursements, and payments accurately to maintain organized financial records.
- Assist in ensuring compliance with organizational policies, grant requirements, and relevant regulations.
- Support the preparation of operational, financial, and grant-related reports.
- Coordinate with the organization’s accounting service providers to support bookkeeping, financial reporting, government compliance requirements, and other financial processes.
- Coordinate with legal service providers regarding contracts, compliance requirements, and other legal documentation as needed.
Systems and Administrative Management (20%)
- Assist in maintaining organizational filing systems, databases, digital tools, and internal documentation.
- Support the improvement and implementation of administrative and operational systems.
- Ensure organizational records and operational documents are properly organized and accessible.
Logistics, Events, and Program Support (20%)
- Coordinate logistical requirements for meetings, events, training, travel, and organizational activities.
- Assist in managing supplier and service provider coordination, including documentation and procurement support.
- Provide operational and administrative support to programs and projects, including scheduling, documentation, and coordination tasks.
- Perform other related duties that may be assigned from time to time in support of organizational operations and programs.
Human Resources and Team Support (10%)
- Assist in implementing internal policies, staff processes, and organizational systems.
- Support recruitment, onboarding, documentation, and other HR-related administrative tasks.
- Maintain HR records, leave monitoring systems, and employee documentation.
Qualifications
Required
- Bachelor’s degree in Business Administration, Management, Human Resources, Development Studies, Social Sciences, or any related field.
- At least 2–3 years of experience in operations, administration, project coordination, office management, human resources, finance, or a related role.
- Strong organizational, administrative, and project coordination skills, with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent written and verbal communication skills, with the ability to coordinate effectively with internal and external stakeholders.
- Experience supporting administrative processes such as procurement, logistics, documentation, compliance, financial tracking, or human resources is highly desirable.
- Proficiency in Google Workspace, Microsoft Office, and other productivity and collaboration tools.
- Strong attention to detail and ability to maintain accurate records, documentation, and reporting systems.
- Demonstrated ability to work independently, take initiative, and solve problems proactively.
Work setup, Compensation, & Benefits
- Duration of engagement: This position is offered under a one-year contract.
- Benefits: flexible schedule, hybrid work setup, opportunity to attend workshops and trainings, occasional field work and HMO (100k MBL) upon onboarding and until the end of the contract
- AEP’s office hours: 9am – 6pm
- Commitment: 40 hrs. per week
- Compensation: Php 40,000 monthly subject to withholding tax
