About the Role
The person responsible for Member Administration and Tax Compliance will be in charge of comprehensively managing the donor and member base in Spain, ensuring the correct fulfillment of tax obligations, in particular the preparation and presentation of Form 182, as well as the issuance of donation certificates and the correct management of donor information in accordance with current regulations.
The position plays a key role in ensuring transparency, traceability, and trust with donors and public administration, directly contributing to the financial and reputational sustainability of the Animal Equality Foundation Spain.
Main responsibilities
Donor and partner management
- Manage and maintain an up-to-date database of donors and partners in Spain.
- Ensure the correct collection, verification, and safekeeping of the data necessary for tax and communication purposes.
- Coordinate the issuance and shipment of tax certificates for donations.
- Handle incidents and inquiries from donors related to donations, certificates, and tax benefits.
- Commitment to the mission of Animal Equality.
Tax and legal compliance
- Prepare, review and submit Form 182 (Informative Declaration of Donations).
- Coordinate with tax and accounting advisors to ensure compliance with the regulations applicable to foundations and non-profit entities in Spain.
- Ensure compliance with Law 49/2002, tax regulations, data protection (GDPR) and other obligations related to donations.
- Monitor deadlines, documentation, and requirements of the Tax Agency.
Systems and database management
- Maintain accurate and up-to-date records in the CRM (Salesforce or other systems).
- Ensure consistency between accounting, tax, and donor data.
- Support the generation of internal reports on donations, partners, and compliance.
Internal coordination
- Work closely with the international Philanthropy, Finance, and Operations team.
- Support audit processes, institutional reports, and transparency requirements.
- Collaborate in the continuous improvement of internal processes related to donors and compliance.
Other functions
- Stay up to date on regulatory changes regarding the taxation of donations and foundations in Spain.
- Perform other tasks related to the area as required.
Profile and requirements
- Demonstrable experience in administration, tax compliance and donor management in foundations, NGOs or non-profit entities in Spain.
- Practical knowledge of Model 182 and the tax framework for donations in Spain.
- Familiarity with Law 49/2002 and the tax benefits for donors.
- Experience in database management and CRM (preferably Salesforce).
- High level of organization, attention to detail and confidentiality.
- Ability to work autonomously and in a coordinated manner in remote environments.
- Native or professional level Spanish; intermediate English desirable.
